Clinical Hour Compliance Portal

Galen College of Nursing

Project Overview

Curtis Consulting partnered with Galen College of Nursing to design and deploy a custom WordPress-based clinical hours tracking platform for its Associate Degree in Nursing (ADN) program—enabling students and instructors to securely log, review, and approve clinical experiences while meeting Tennessee Board of Nursing reporting and accreditation requirements.

The Challenge

Galen’s ADN program relied on a differing fragmented process—spreadsheets, paper sign-offs, and email threads—to verify clinical hours across multiple sites, creating delays, errors, and limited real-time visibility needed to stay compliant with Tennessee Board of Nursing regulations.

Our Approach

We applied higher-ed UX expertise and agile, compliance-aligned product design to modernize clinical tracking end-to-end—delivering a role-based, mobile-responsive WordPress platform with secure integrations, a state-ready reporting engine for rapid Board of Nursing exports, audit-proof accountability through time-stamped approvals and version history, and faculty/admin dashboards with guided onboarding to improve oversight and adoption.

The Solution

The new platform transformed clinical compliance management by centralizing tracking, approvals, reporting, and feedback in one system—reducing audit preparation time by over 85%, cutting clinical-hour tracking help desk tickets by 62%, and improving transparency and usability with a 4.8/5 student satisfaction rating while enabling faculty to manage evaluations and feedback through a single streamlined interface.

Conclusion

Galen gained a dependable system of record for clinical hours—improving transparency for students and giving faculty a single, consistent workflow for approvals and feedback.
